Operational Policy
1. Purpose and Scope
This Operational Policy governs the procedures for managing, analysing, and handling information and materials related to the services offered by Geo Veritas, headquartered in the United Arab Emirates.
It applies to all activities carried out by the Centre, including:
• registration of stolen or missing minerals
• provenance verification and due diligence
• independent consulting and expert reports
• cooperation with public bodies, museums, collectors, and law-enforcement authorities
• data analysis, storage, and protection
2. Mission and Operating Principles
Geo Veritas operates to reduce opacity and provenance risks in the mineral market by promoting transparency, legality, and scientific accountability.
Its activities are based on four fundamental principles:
• Integrity – each verification is conducted impartially and independently, without commercial interests in the materials analysed
• Traceability – all information received is recorded, reviewed, and documented in a verifiable manner
• Confidentiality – all information provided by clients is handled with the highest level of privacy
• Collaboration – where appropriate, Geo Veritas cooperates with public-security authorities, experts, universities, and museums for the recovery and protection of mineral assets
3. Analysis and Verification Procedure
Each research or verification request follows a standard protocol structured into three phases:
3.1. Receipt and Registration
• The user completes a request or reporting form, attaching images and identifying data of the mineral.
• The system assigns a unique case number (GV-ID).
• Documentation is stored in a secure digital environment with encryption and controlled access.
3.2. Analysis and Comparison
• The research team compares the data with external and internal sources, including specialised databases and academic archives.
• If a match is found with reported stones, a confidential notification procedure is initiated, and the commercial or physical movement of the specimen is suspended.
3.3. Outcome and Certification
• Where no issues emerge, a Geo Veritas Verification Report or Certificate is issued, confirming the absence of known alerts or inconsistencies at the date of issuance.
• Where inconsistencies are identified, the user receives written notice detailing the findings and recommended actions.
4. Data Processing and Confidentiality
Geo Veritas complies with current UAE regulations on personal-data protection and cyber-security.
Data provided by users is used exclusively for verification, research, and traceability purposes.
No public disclosure occurs without the explicit consent of the owner or of the requesting authority.
Information may be shared with police or judicial bodies only where there are legitimate grounds or upon formal written request.
Data is stored for a maximum of ten years, unless longer retention is required by law.
5. Cooperation with Authorities and Institutions
Geo Veritas works closely with:
• law-enforcement bodies, for the reporting or recovery of stolen minerals
• customs authorities, for the verification of temporary or definitive exports
• scientific institutions and museums, for the analysis and documentation of specimens of historical or academic value
All cooperation is governed by confidentiality agreements (NDAs) and complies with international laws on the protection of cultural and natural heritage.
6. Limitation of Liability
Geo Veritas does not guarantee the absolute completeness of information obtained from external archives or third-party sources.
The certificate or report issued constitutes a technical and documentary opinion, not a legal guarantee of ownership or authenticity.
The Company cannot be held liable for:
• omissions, errors, or deficiencies in third-party databases
• improper use of certificates or reports by users
• events occurring after issuance that alter the legal status of the mineral
7. Ethics and Compliance
Geo Veritas commits to:
• not participating in the purchase, sale, or brokerage of minerals
• not accepting assignments that may create conflicts of interest
• maintaining high standards of ethical conduct and scientific transparency
Every collaborator or external consultant must sign a declaration of independence and confidentiality.
8. Governing Law and Jurisdiction
This Policy is governed by the laws of the United Arab Emirates.
For any dispute arising from the application or interpretation of these provisions, the courts of the registered office of Geo Veritas (UAE) shall have exclusive jurisdiction.
9. Review and Amendment
This Policy is subject to periodic review.
Geo Veritas reserves the right to amend it at any time to reflect regulatory, technological, or operational developments.
The updated version is published on the official website and entirely replaces previous versions.
